KOL Management System

The whole campaign, on one record.

From the first shortlist to the closed-out report, with the client reviewing inside it rather than around it.

A client portal instead of an approval thread

The brand reviews talent, storylines and drafts in a workspace of its own, and every decision lands straight on the production board.

  • Client contacts log in, no shared links in a group chat
  • Three rounds: creator selection, brief, draft
  • Several contacts per campaign, all-must-decide or first-decision-wins

A client decision, and what it does

Creator selection round, as the contact sees it

Client decision
Line moves toStoryline and wardrobe draft

The creator is confirmed and the brief round opens.

The contact sees the line settle and the budget update.

Internal sign-off before anything reaches the brand

Junior work is checked by the right senior at the right moment, and the gate is enforced by the system rather than by discipline.

  • Two approver layers across listing, brief and draft
  • Set per campaign, so governance can differ per client
  • A manager bypass is recorded as a bypass, not a second review

Show the chain for
  1. Specialist submits

Creator listing is filled in and marked ready

  2. Senior reviews

First layer, has to clear before the next one sees it

  3. Manager or director

Second layer, and can unblock the senior as a recorded bypass

  4. Client, 3 contacts

Creator selection, every contact has to decide

  5. Board moves itself

The decision advances the stage in the same transaction

Sequential hierarchy. Internal sign-off has to clear before the step reaches the portal, and it is checked again when the client submits a decision.

Production from brief to caption, revisions on record

The creative package for each deliverable lives in the campaign, and every rework round is a record you can count and defend.

  • Brief, wardrobe and a storyline table per deliverable
  • Two dedicated revision stages, so late changes stay visible
  • Every revision stores round, before, after and who changed it

Rework, on the record

Each round is stored with what changed, by whom

The stage, the round number, the old value and the new one are all kept.

Live delivery tracking and the report at the end

Once a post is live the numbers collect themselves, so the check-in and the wrap-up come out of the record the team already worked in.

  • A published URL pulls its metrics from Instagram, TikTok, YouTube and X
  • Target against actual, one row per contracted deliverable
  • Report exports to PDF and Excel, gated by permission

Built for how an agency is actually organised

One workspace serves several entities, units and roles, with the right people seeing the right campaigns in the language they work in.

  • 22 permissions with six ready-made role templates
  • Visibility follows the org chart, not one admin switch
  • Indonesian and English, including the client portal

What a role can see

Visibility follows the org chart, not a single admin switch

Role

Scope

Every campaign on their accounts, plus their juniors' work

Can

  • Own campaigns and briefs
  • Request client approval
  • Export reports

Cannot

  • Company setup
  • User management

What it does not do, yet

No public API or third-party integrations. No creator discovery database, audience-quality scoring or social listening. Instagram Stories and Facebook numbers are entered from the creator's own analytics rather than collected. Payments and contracts stay in your existing finance stack. If one of those is a condition for you, say so early and we will be straight about the timeline.

See it with your own campaign in it

Send one live campaign and a roster. We set the workspace up, move the data across and walk your team through a full approval round.
